How to use each tool

Follow these workflows. The FAQ below covers common questions in detail.

Creating a Live Event
Click Create Live Event → choose event mode → fill in details (name, date, time, type) → select your market → optionally sync to calendars → click Generate QR & Link. Share the link or QR with attendees.
💡 Use "Registration + Attendance" for pre-event sign-ups. The link auto-switches to check-in 30 min before start.

Generating a Weekly Report
Click Weekly Report Generator → select your market and week → enter event count, attendance, a member spotlight, blockers, and next priority → click Generate. Copy the output into your reporting channel.
💡 Takes under 2 minutes. Format is standardised so leadership can compare markets at a glance.

Creating a Feedback Form
Click Generate Feedback Form → select City or Central mode → enter Event Name (no spaces), Date (e.g. April082025), and Type (e.g. InPersonMeeting) → click Generate. Share the link or display the QR code.
💡 City mode uses the Pathway Community Jotform. Central uses the cross-programme form.

Uploading Attendance from CSV
Your CSV needs columns in order: First_Name, Last_Name, Email. Click Upload Attendance Data → enter event name → select market → choose file → Upload Data. Duplicates are skipped automatically.
💡 If your file is .xlsx, convert it with the Excel to CSV tool first.

Running a Health Check
Click System Rebooster → Run Health Check. This creates a timestamped backup, verifies and fixes sheet structure, cleans name and email formatting, and purges old backups beyond the 5-backup limit.
💡 Run at least once a month, or before any major data import.

Attendee Check-in Flow
Attendees access the event via link or QR. They enter email and name to register (pre-event) or check in (on the day). Zoom events show the meeting link on success. Returning attendees get their name pre-filled.
💡 The system switches modes automatically, with no manual action needed.
Common Questions

Instructions & FAQ

Everything you need to use this platform confidently from day one.

Attendance Only: the link goes directly to a check-in form. Attendees scan or click on the day and sign in.

Registration + Attendance: a two-phase flow:
  1. Before the event, the link shows a registration form. Attendees sign up in advance and optionally receive a confirmation email with a .ics calendar invite.
  2. 30 minutes before start, the link automatically switches to a check-in form.
Use Registration + Attendance when you need an RSVP count or want to send reminders.
When you create a Registration event, the system stores the start time in UTC. Every 30 seconds, the registration page polls the server. When the current time reaches 30 minutes before event start, the server returns "attendance" mode and the page switches automatically with no manual action or new URL required.
Columns must be in this order: First_Name, Last_Name, Email. Position matters, not column name. A header row is optional. If the first row contains "first" or "name" it will be skipped. Rows with missing or invalid emails are silently skipped. Duplicate emails for the same event are also skipped.
Step 4 of event creation lets you sync to one or more Pathway calendars: Community, Cohort 2, and Cohort 3. The system uses the Google Calendar API. If Calendar API is not enabled in your Google Cloud project, you'll see an error. Contact your admin to enable it. Calendar failures are non-fatal: the event link and QR code are still generated.
Three types of automated emails:
  1. Registration Confirmation: sent to attendees on sign-up (if enabled). Includes a .ics calendar invite attachment.
  2. 5-Minute Reminder: sent to all registrants 5 minutes before start (if enabled). Contains the check-in link.
  3. Organiser Confirmation: sent to you after event creation (if enabled). Contains the registration URL.
Select your mode (City or Central), then fill in:
  1. Event Name: no spaces, e.g. CommunityMeetup
  2. Event Date: e.g. April082025
  3. Event Type: e.g. InPersonMeeting
Click Generate. Share the link or display the QR code for attendees to scan at the end of the event.
